REPORTS TO: Chief Executive Officer & Director of Training and Evaluation 

About SHIFT NC: SHIFT NC (Sexual Health Initiatives For Teens) is leading North Carolina to improve adolescent and young adult sexual health. After 30 years of success in adolescent pregnancy prevention, we have expanded our scope to include adolescent pregnancy, HIV and STIs, sexuality, healthy development, relationships, and access to care.

Primary Purpose of Position: The Executive & Training Coordinator provides high-level administrative and managerial support to the organization’s CEO, primarily as a coordinator for and liaison to the board of directors which involves scheduling and preparing materials for board meetings. Additionally, this position provides logistical support for SHIFT NC Fee-For-Service (FFS) & Teen Pregnancy Prevention Initiative (TPPI)-funded trainings to ensure that these trainings are delivered professionally and with high quality. 

This is a hybrid role comprising approximately 50% administrative support, 50% training coordination for fee-for-service program and the Teen Pregnancy Prevention Initiative (TPPI) program. The two key components to this role are: 

  • Provide administrative and managerial support to the CEO and board of directors. 
  • Assume Training Coordinator responsibilities for Training and Consulting Services functions, specifically FFS trainings, and support for trainings related to the Teen Pregnancy Prevention Initiative (TPPI) program. Training Coordinator responsibilities include support of assigned projects and initiatives as directed by the Director of Training and Evaluation. 

 

Core Responsibilities: 

Executive Coordinator: [Approximately 50% of time] 

  • Support quarterly board meetings, including scheduling, use of technology, preparation of materials, arranging catering, and arranging off-site locations as necessary. 
  • Re-establish and then maintain board portal with up to date documents. 
  • Support board recruitment efforts, including research, scheduling meetings, timeline and pipeline management. 
  • Plan some large non-board meetings by compiling agendas, coordinating logistics and materials, inviting guests, and taking notes. 
  • Plan and execute the annual state of adolescent health forum each spring. 
  • Coordinate staff meetings and events, whether on- or off-site. 
  • Commitment to working as part of a team to achieve group goals.

  • Assists with other tasks and projects as assigned. 
  • Identifies and proposes opportunities to provide additional support in alignment with needs and personal skills and talents. 

 Training Coordinator: [Approximately 50% of time] 

  • Coordinates logistics for SHIFT NC FFS & TPPI trainings, including ordering lunch, ordering training supplies, managing participant registration and evaluation processes, room set-up and break down, and other relevant tasks. 
  • Works with the Director of Training and Evaluation to market SHIFT NC’s FFS & TPPI training opportunities to existing and new partners, including exhibiting at conferences and other outreach opportunities. 
  • Works with Director of Training and Evaluation to create trainings/webinars as needed. 
  • Collects, monitors, and analyzes data on the use, results, and impact of SHIFT NC’s training and consulting services. 
  • Stays up to date on adolescent sexual health topics and trends. 
  • Assists with other tasks and projects as assigned, including participating in ad-hoc working groups that support the organization’s strategic plan. 
  • Works evenings and weekends as necessary; travels as necessary.

 Desired: 

  • Experience developing and delivering training for adult learners based on best practices. 
  • Experience with online learning platforms 

 Qualifications: 

  • College degree or equivalent experience preferred 
  • 3+ years of experience providing high-level, administrative support to senior management. 
  • 2+ years of experience in teen pregnancy prevention, sexual health, or related field. 
  • Ability to communicate with strong written and oral skills in an easily-understood and tactful manner to multiple audiences. 
  • Skilled at making presentations to small and large audiences.
